Documents Required for MSME Subsidy Claims

Subsidy applications are rejected on documentation grounds more than on eligibility grounds — having everything on this checklist ready before approaching a DIC office saves the most time overall.

Executive Summary

  • Udyam Registration and commencement certificate are required for virtually all schemes
  • Investment proof must cover every asset in the subsidy claim, with original invoices
  • Bank loan sanction and disbursement proof is needed for CLCSS and credit-linked schemes
  • Special category proof (caste certificate, gender proof) must match the application claim

Registration and Identity Documents

  • Udyam Registration Certificate — current and correctly classified
  • Constitution documents — MOA and AOA for companies, partnership deed for firms
  • PAN of entity and promoters
  • Commencement of production certificate — issued by DIC or equivalent authority confirming the unit has commenced operations
  • Land/premises documents — sale deed, lease agreement, or KIADB allotment letter

Investment Proof Documents

  • Original purchase invoices for all machinery, equipment, and fixed assets included in the subsidy claim
  • Payment receipts or bank payment records corresponding to each invoice
  • Installation certificates from the machinery supplier, where applicable
  • Asset inspection report if the DIC requires pre-disbursement physical verification documentation
"The single most common documentation gap in Karnataka subsidy applications is missing original invoices — photocopies alone are insufficient, and recreated invoices are a disqualifying red flag."

Bank and Finance Documents

  • Bank sanction letter for any credit-linked scheme (CLCSS, PMEGP, interest subsidy)
  • Disbursement confirmation showing the loan was actually drawn for the claimed purpose
  • 12 months of bank statements showing actual investment transactions

Category-Specific Documents

  • SC/ST caste certificate from competent authority, for enhanced rate claims
  • Women promoter proof — shareholding certificate or partnership deed showing majority women stake
  • DIC registration certificate — for PMEGP and some state schemes, separate from Udyam
